The Marketing Division of the San Francisco Convention & Visitors Bureau seeks qualified candidates to contribute to the efficiency and smooth working processes of a dynamic marketing environment. The marketing team is responsible for the development and measurement of programs which generate awareness among our various visitor audiences and drive tourism-related business to San Francisco. They also oversee the Bureau’s website, consumer advertising, social media, editorial and public relations, membership and related activities, the visitor information center, and Bureau partnerships.
This role is critical to ensure that division projects and budgets are proactively and holistically managed, and that the EVP/Chief Marketing Officer is properly supported administratively via calendar/schedules, travel and expenses, and any other required administrative work.
Essential Duties and Responsibilities
Project/Workflow/Budget Management
Creates and executes project work plans and revises as appropriate to meet changing needs and requirements.
Works across Marketing Services team and Bureau staff to manage day-to-day operational aspects of a project and scope.
Effectively applies our methodology and enforces project standards.
Prepares for engagement reviews and quality assurance procedures.
Ensures project documents are complete, current, and stored appropriately.
Manage product lifecycle from conception to launch and beyond for small to large projects.
Work with web team to continually update web presence, measure and improve performance.
Works with all direct reports to develop and maintain departmental budget, for co-op as well as division programs.
Works closely with Accounting to ensure compliance and accuracy of information.
Familiarity with Bureau’s Chart of Accounts and process division invoices for approval and payment.
Executive Administration
Handles all standard administrative duties for EVP/CMO, including seamless coordination of schedules, T&E management, contact management.
Responsible for routine correspondence for EVP/CMO, including emails sent “on behalf,” answering and screening phone calls and/or as necessary.
Coordinates and implements various projects as needed for the Marketing Division.
Maintains Marketing Division website mailbox, responding to or forwarding messages and leads as appropriate.
Facilitates meetings on behalf of EVP/CMO including quarterly Consumer Promotion Council/Community Partnership Council, and other meetings as needed for the Marketing Division, to include scheduling meeting room/venue, maintaining RSVP’s, preparing meeting materials, coordinating any audio/visual equipment and materials, meeting set-up, recording meeting minutes, and meeting tear-down/clean-up.
Develop, organize and maintain files both for ready reference and permanent records.
Prepares forms and/or facilitates their timely processing for key members of the Marketing Division, including check requests, expense reports and air travel request forms.
Assist with and/or coordinate arrangements to special events and group functions as required.
Qualifications
Minimum six years Operations experience, including project workflow (certification a plus) and budget management (accounting and statistical experience a must).
Minimum five years Executive Administration experience, with proven ability to handle multiple direct reports.
Ability to type 60 wpm; Strong word-processing skills, preferably MSWord, Outlook, Excel, PowerPoint, and Internet Explorer and data base experience.
Significant knowledge base of San Francisco preferred.
Excellent written and oral communication skills, demonstrated ability to work effectively with diverse internal and external groups.
Must possess ability to exercise good judgment and discretion with regard to confidential information.
Ability to handle heavy phones, e-mail, contact with members, community groups and industry associations.
Physical environment/working conditions
This position involves an office environment and work in the community. Must be willing to travel occasionally and perform duties outside of normal office hours.
